Services

How I can help

Nine services, explained in plain language. For each one you can read what I do and what it gives you.

IT support

I make sure you and your colleagues can simply get on with your work. A new employee, a laptop that needs setting up or a fault? I'll sort it out, mostly remotely and always with an explanation you can follow.

How it works

  1. 1You describe your question or fault by email.
  2. 2I look into it, mostly remotely, and let you know what I'm going to do and roughly how much time it takes.
  3. 3I fix it and briefly explain what the problem was and what I changed.
  4. 4You only pay for the time it took, per quarter of an hour.

Example: A new employee starts on Monday. An account is created, a licence assigned, MFA enabled and the laptop set up, so that person can log in straight away that morning.

What you get

  • New and departing employees handled quickly and correctly
  • No paid licences that nobody uses
  • A more secure workplace for everyone
  • One dedicated point of contact instead of an anonymous help desk

What I do for you

  • User and licence management in Microsoft 365, Entra ID and Intune
  • Workplace management: setting up laptops and keeping them up to date
  • Getting security in order, such as MFA (multi-factor authentication)
  • Resolving issues at workstation and user level

Suited for: SMEs that are growing and have no IT department of their own.

Application management

Do you use a business application that nobody is really in charge of? I take over the management: I arrange who has access to what, make sure everything is set up properly and help your colleagues when they get stuck.

How it works

  1. 1We discuss which application you use and who is currently allowed to do what.
  2. 2I map out users, permissions and settings and put them in order.
  3. 3I help your colleagues with questions and report problems to the supplier.
  4. 4For a new version I test what's needed, so the team isn't caught off guard.

Example: An employee changes role and needs different access. I adjust the permissions in the application and remove the old access, so nobody sees more than they need to.

What you get

  • Everyone has the right access, no more and no less
  • Colleagues know how to use the application
  • Problems are reported to the supplier and followed up
  • A new version doesn't come as a surprise

What I do for you

  • User and authorisation management
  • Configuration and settings of the application
  • Functional support and instruction of users
  • Handling reports to the supplier
  • Guidance and functional testing for new releases

Suited for: Companies that use an application and are looking for functional management for it.

IT advice

Not sure which licences you really need, or whether your security is good enough? I think along independently and explain it in plain language. Then you decide what to do and who to buy it from.

How it works

  1. 1You tell me what you're unsure about, for example licences or security.
  2. 2I look at your situation and give an honest recommendation, with an explanation of why.
  3. 3You decide what to do with it and who to get it from.

Example: A company pays for more Microsoft 365 licences than it has people. I lay out which licences are needed and which you can cancel.

What you get

  • Honest, non-binding and independent advice
  • You decide on the purchase yourself
  • No sales talk, just a clear recommendation

What I do for you

  • Advice on licences in Microsoft 365
  • Advice on security, such as MFA and access
  • Advice on the setup of workplaces

Suited for: Business owners who have a choice to make and want a second opinion.

AI support

AI can speed up your daily work, but which tool suits you, and how do you use it safely? I advise independently and then help you set up AI tools properly, so the right people have access to them.

How it works

  1. 1We discuss what you want to achieve with AI and which data is involved.
  2. 2I advise which tool fits and how to use it safely.
  3. 3If you want, I set up the tool with the right licences, users and permissions.
  4. 4After that I manage the tool and help colleagues with questions.

Example: An office wants to try Microsoft Copilot. I first advise whether it fits and which data does and doesn't belong in it, and then set it up for the people who will use it.

What you get

  • An honest picture of what AI can and cannot do for you
  • You decide on the purchase yourself and don't pay for licences nobody uses
  • AI tools are set up securely, with the right access for the right people
  • Explanations in plain language, without the hype

What I do for you

  • Non-binding advice on AI tools, such as Microsoft Copilot, and what they can mean for your business
  • Advice on safe use: which data does and doesn't belong in AI tools
  • Setting up AI tools: licences, users and permissions in Microsoft 365
  • Managing those AI tools, including faults and questions from colleagues

Suited for: Business owners who want to use AI but don't know where to start.

Custom ERP system

Do you work with loose spreadsheets, emails and programs that do not talk to each other? I build an ERP system that fits the way you work: contacts, quotes, orders, stock, invoices and hours in one place. I set it up in your own environment, so the system and your data stay yours.

How it works

  1. 1We discuss your work process and what the system needs to do.
  2. 2I make a proposal with the agreed parts and a fixed price.
  3. 3I build the system and let you look along the way.
  4. 4I set it up in your own environment, arrange access and explain how it works.
  5. 5Afterwards I can manage and adjust it, billed per hour.

Example: A company tracks orders, stock and hours in spreadsheets. I build a system where it all comes together, let the team sign in with their Microsoft 365 account and set it up in their own environment.

What you get

  • One place for your business data instead of loose files
  • The system fits the way you work, not the other way round
  • You keep the keys: no dependency and no lock-in
  • Set up securely, with the right access for the right people

What I do for you

  • An intake to get your work process and wishes clear
  • A custom ERP system with the parts you need, such as contacts, quotes, orders, stock, invoices and hours
  • Sign-in with your Microsoft 365 account, with MFA and permissions per role
  • Set up in your own environment: you remain the owner of the system and the data
  • Documentation and explanation for your team
  • Management and changes afterwards, billed per hour

Suited for: SMEs that are growing and want to move away from spreadsheets and separate programs.

Connections between systems

Do you still retype the same data from one system into another? I build connections (APIs) so your systems exchange data on their own. That saves work and prevents mistakes. I work with a test environment and do not use real customer data without a clear agreement.

How it works

  1. 1We discuss which systems you use and what needs to happen.
  2. 2I give a proposal with the approach and a fixed price or an estimate in hours.
  3. 3I build the connection and test it with your test environment.
  4. 4After your approval I put it live and explain how it works.

Example: A new order in the webshop automatically becomes a draft invoice in the accounting system, without retyping.

What you get

  • Less manual retyping and fewer mistakes
  • Your data is up to date everywhere
  • You know how it works and remain the owner of the connection
  • Keys and access handled securely

What I do for you

  • An intake to determine which data should go where
  • Building and testing a connection with your test environment
  • Error messages and monitoring, so you notice when something goes wrong
  • Documentation of what was built and how it works
  • Management and changes afterwards, billed per hour

Suited for: Organisations that use two or more systems that do not talk to each other.

Workflow automation

Does a fixed process, like having a request approved or sending a report around, mean manual work every time? I automate it with Power Automate and the other tools in Microsoft 365, so it happens on its own and nobody forgets anything.

How it works

  1. 1We pick the process that costs the most time.
  2. 2I record how it works now and how it should be automated.
  3. 3I build the workflow and test it with you.
  4. 4I put it live and explain how to adjust or switch it off.

Example: A leave request automatically goes to the manager, is approved in Teams and ends up in the calendar.

What you get

  • Less manual work and fewer forgotten tasks
  • A process that runs the same way every time
  • Inside Microsoft 365, so no extra loose programs
  • Your team understands what happens automatically

What I do for you

  • An intake: which work repeats and what does it cost now
  • Building workflows in Power Automate, such as approvals and notifications
  • Connecting with Teams, SharePoint, Outlook and forms
  • Testing with your team and explaining how it works
  • Management and changes afterwards, billed per hour

Suited for: Teams that do a lot of recurring work by hand.

Microsoft 365 Security Baseline

Do you know how securely your Microsoft 365 environment is set up? I go through your environment using Microsoft Secure Score and best practices and write a clear report: what is in good shape, what can be better and what to tackle first.

How it works

  1. 1You give me read access to your environment.
  2. 2I go through the settings and look at your Secure Score.
  3. 3I deliver a report with priorities.
  4. 4We discuss the results and you decide what to pick up.

Example: The check shows that MFA is not on for everyone and old accounts still have access. That is at the top of the report, with an explanation of how to fix it.

What you get

  • Immediate insight into where you stand
  • A short, practical list instead of a thick report
  • Choices you make yourself, without sales talk
  • A good basis for further steps

What I do for you

  • Check of MFA, Conditional Access, permissions and managed devices
  • Assessment using Microsoft Secure Score
  • A report with priorities, quick wins first
  • A conversation to explain the results
  • On request: carrying out the improvements for you, billed per hour

Suited for: Organisations that want to know how securely their Microsoft 365 environment is set up.

Reports and dashboards

Is your data spread across files and systems, and does making an overview take hours every time? I bring your data together and turn it into dashboards and reports that update automatically.

How it works

  1. 1We decide which questions your overview must answer.
  2. 2I bring the data together and make a first version.
  3. 3You look along and give feedback.
  4. 4I deliver the final version and explain how it works.

Example: Revenue, hours and open invoices sit in three files. I make one dashboard that updates automatically every morning.

What you get

  • Figures in one place and always current
  • Less time lost on manual overviews
  • Better decisions with clear figures
  • Your team can carry on with it itself

What I do for you

  • Bringing data together and cleaning it up
  • Building dashboards and reports in Power BI or Excel
  • Automatic refresh, so the figures are current
  • Explanation so your team can read and adjust them itself

Suited for: Organisations that have data but do too little with it.

How we agree things

  • Mostly remote

I solve most things securely at a distance. That saves you time and travel.

  • By appointment

I work by appointment rather than through a fixed helpdesk. That means we agree up front when I will be working on it.

  • Outside office hours too

Is daytime difficult? In consultation we can also arrange evenings or weekends.

  • Clear about costs

You know where you stand up front and I bill per quarter of an hour. Rates and terms will follow when Kozbica IT starts.

FAQ

Frequently asked questions

Not finding your question here? Feel free to send me an email.

Who is Kozbica IT for?

For ambitious SMEs in Rotterdam and the surrounding area that use Microsoft 365 and have no IT department of their own. You know what your profession requires; I make sure the IT fits and explain everything in plain language.

How do I get in touch and how quickly will I get an answer?

Email info@kozbica.nl. Once Kozbica IT gets going, you will read here how I work and how quickly you get an answer.

What does it cost?

I charge per quarter of an hour, without a subscription. Rates and terms will follow when Kozbica IT starts.

Do I have to sign a contract?

No. I work without complicated contracts, but with clear agreements up front about what I do and what it costs. Larger projects are done on a quotation basis.

Do you also come to the office?

Most things can be done securely remotely. Work on location is possible by appointment.

Can you help me with AI, such as Microsoft Copilot?

Yes. I advise which AI tools fit your business and how to use them safely. After that I can set them up and manage them for you within Microsoft 365. The advice is non-binding and you decide on the purchase yourself.

Can I just ask for advice?

Yes. IT advice is non-binding. I tell you what I would do and why, and you decide on the purchase yourself.

What if my question doesn't fit what you do?

Then I'll say so honestly, and where possible I'll point you towards someone who can help.

Why is MFA so important?

A password can be leaked, guessed or stolen through phishing. With MFA (multi-factor authentication) a second step is needed, such as a code on your phone. That makes it much harder for an attacker to log in with just a stolen password. It is one of the most effective measures for Microsoft 365.

What does 'you keep the keys' mean?

You always keep administrator access to your own environment, and everything I set up is documented. So you don't depend on me: another party can take over without hassle.

Do you also work for start-ups or newly growing organisations?

Yes, especially for business owners who are growing and have no IT department of their own. A solid foundation now means your IT grows along with your organisation.

Do you help with compliance?

I set up your environment securely and in line with best practices and think along on requirements from laws and regulations, such as privacy and the GDPR.

Do you also build an ERP system for my organisation?

Yes. I build a custom ERP system with the parts you need, such as contacts, quotes, orders, stock, invoices and hours. I set it up in your own environment and you remain the owner of the system and the data. First there is an intake, then a proposal with a fixed price.

Can you also build connections and automations?

Yes. I build connections between systems and automate recurring work in Microsoft 365. I work with a test environment and do not use real customer data without a clear agreement. You remain the owner of what is built and I document how it works.
